In general, the suffix of a representative number has meaning. Please contact the IT Helpdesk (1-877-218-4810), if the suffix of your representative number does not correspond to the following:
- -80 = Employer Rep/TPA
- -90/91 = Attorney
- Question: Why are hearings being docketed on days for which
hearing blocks were requested?
Response: Hearing blocks are considered only for those representatives (reps) who are the docketing reps. However, until January 17, 2011, you may still request continuances for hearings that were set despite your hearing blocks.
- Question: What is the purpose of identifying and using
docketing reps?
Response: Attorneys, TPAs, and IC personnel that served on the Kaizen Committee submitted recommendations to the IC to make more equitable schedules for all parties. It is impossible to create smooth schedules when docketing five and six reps for one hearing when only one IW rep and one Employer rep generally participate for the hearing.
- Question: What are docketing reps?
Response: Docketing reps are reps that will be participating in the hearing. The IC put in place a hierarchy that identifies which reps will be considered the docketing rep in the absence of a designation by the employer.
- Question: What if the hierarchy identifies the incorrect
docketing rep for the employer?
Response: Employers should designate the correct docketing rep(s) using ICON. The hierarchy is used only when no docketing rep has been designated. If a docketing rep is not designated at the risk or claim level the IC chooses the rep according to established criteria.
- Question: Why does the ICON calendar display in blue when a
hearing block was requested?
Response: The calendar displays blue if you are not the docketing rep in a claim that got set for hearing. Your calendar appears in blue because hearings were set overtop of your hearing block(s).
- Question: What if the only employer rep is a TPA at the claim
level?
Response: Generally, TPAs at the claim level would not be considered. However, if that TPA is the only rep, then the TPA is the docketing rep.
- Question: What if I am not a TPA but I have a -80 rep number?
Response: Please contact the IT Helpdesk (1-877-218-4810), so that we can properly identify your status.
- Question: What if I bought out another rep?
Response: Please file the appropriate forms ASAP and/or contact the IT Helpdesk (1-877-218-4810) for direction.
- Question: If a TPA is designated as the docketing rep, will
the law firm continue to receive all notices for claims/risks?
Response: Yes, all reps associated with a claim and/or risk will continue to receive notices, hearing orders, etc., even though they are not the docketing rep.
- Question: If an employer wants the attorney (vs. the TPA) to
attend a specific hearing (the TPA is the docketing rep), what action
needs to take place?
Response: The employer can, through ICON, designate the attorney as the docketing rep at the claim level for that particular claim, or the rep can file an R-1. The TPA will continue to receive all notices, hearing orders, etc.
- Question: How will concurrent hearing values affect our
hearing schedules?
Response: Concurrent hearing values are only considered for docketing reps. Your current values (viewable on ICON) are your "preference" when the IC dockets your claims for hearing. Around spring, enhancements will go into effect that will enable parties to manage concurrent hearing values via ICON. The number of concurrent hearing values you select will tell the IC how many people you have available to cover dockets statewide.
- Question: If my office is not the docketing rep, will I be
able to request a continuance in a claim that I want to attend but
cannot due to a hearing conflict, etc.?
Response: The IC will not honor continuance requests for the reason of hearing conflict from parties not designated as the docketing rep. Parties/TPAs are encouraged to look ahead when working in claims to pre-determine if they anticipate challenging an issue and it is determined that the attorney should be brought into the claim. Then a change will need to take place in the claim/risk so that the attorney becomes the docketing rep.
